CallTale.com (“CallTale”) (“we,” “us,” or “our”), explains how personal information is handled in connection with www.calltale.com and our call tracking Service. This policy covers account holders, visitors to our website, and information processed when customers install our script or receive calls through tracking numbers.
Policy Overview
We determine how information is used to administer our own website, accounts, billing, security, and business operations. When processing visitor and caller information to provide tracking and forwarding for a customer, we generally act on that customer’s behalf. The customer determines its configuration and how it uses the resulting information. Its privacy notice also applies.
If you visited or called a business using CallTale, contact that business about its use of your information. You may also contact us; where appropriate, we will help route your request to the relevant customer.
Information Collected
- Account information: Name, email, business name, phone number, login information, account preferences, and support communications.
- Service configuration: Website addresses, original business numbers, tracking numbers, forwarding destinations, campaign settings, and whisper settings.
- Visitor and attribution information: Depending on configuration, IP address, browser and device information, referring URL, landing page URL, campaign parameters, timestamps, and session identifiers. URLs and parameters may contain information supplied by the customer or its advertising systems.
- Call metadata: Caller number or caller ID when available, dialed tracking number, forwarding destination, call time, duration, connection status, and attributed source.
- Billing information: Billing contact details, plan, usage, invoices, payment status, and payment-related identifiers or transaction information needed to administer billing. Stripe processes payment details under its own privacy policy.
- Operational information: Usage, error reports, security logs, and communications with us.
Call recordings: Calls handled through the Service are recorded. Recordings may contain voices and any personal information discussed during the conversation. They are processed through Twilio and made available to the relevant customer and its authorized users for reviewing and managing calls. A call whisper separately tells the answering recipient the attributed source. A whisper alone does not notify the caller that the conversation is recorded or establish consent. Customers must provide required notices and obtain legally required participant consent before recording. CallTale remains responsible for its own legal obligations.
Phone Number Replacement, Call Attribution, and Cookies
The script uses available attribution information to determine which tracking number to display in place of a designated business number. Information associated with that number can then help attribute an incoming call and generate the recipient’s whisper notification.
The script places a cookie in the visitor’s browser to recognize the visitor and present the appropriate call tracking number on a customer’s website. This supports continuity of number display and call source attribution. The script does not collect or submit website form entries, including unsubmitted form field contents.
Customers must provide required tracking notices and implement legally required consent controls. Browser privacy controls, script blocking, or refusal of optional tracking can affect attribution and number replacement. Manage available choices through the relevant website’s settings and your browser.
Use of Information
We use information to operate accounts; replace phone numbers; forward calls; identify attributed sources; deliver whisper notifications, call recordings, and reports; process billing; provide support; diagnose errors; prevent abuse; and meet legal obligations. We may use account contact details for service notices and, where permitted, marketing communications you can opt out of.
Personal Information and Third-Party Providers
- The relevant customer: Attribution and call information are available to the business receiving the call and its authorized users.
- Twilio: We use Twilio for phone numbers and programmatic call handling, including forwarding, whisper notifications, and call recording. Twilio receives call-related information and audio needed to perform these functions. See Twilio’s Privacy Notice.
- Stripe: We use Stripe for billing and payment processing. Stripe receives payment and transaction information needed to process payments and manage billing. See Stripe’s Privacy Policy.
- Legal and protective purposes: We may disclose information when required by law or reasonably necessary to address fraud, security incidents, or threats to rights or safety.
- Business transactions: Information may be transferred in a merger, acquisition, financing, reorganization, or sale of assets, subject to applicable safeguards and notice requirements.
Data Retention
We retain information for the time needed to provide the Service, meet legal and accounting obligations, resolve disputes, and protect security. Retention depends on the type of information and customer instructions where applicable.
Retention criteria include whether an account is active, whether call records or recordings are needed for the customer’s use of the Service, customer deletion instructions, billing and tax record requirements, unresolved disputes, and security needs. Closing an account does not necessarily cause immediate deletion of all records. Records retained for legal or accounting purposes and residual backup copies may remain after closure. Contact us to request deletion or information about retention for your account.
Website Monitoring and Security
No online service or transmission method can guarantee absolute security. Protect your credentials and report suspected unauthorized access promptly.
Your Privacy Rights and Choices
Depending on your location and applicable law, you may have rights to access, correct, delete, or obtain a copy of information; restrict or object to certain processing; withdraw consent; or opt out of sale, sharing, or targeted advertising. Where applicable, you may appeal a denied request, use an authorized agent, or complain to a privacy regulator. We will not unlawfully discriminate against you for exercising privacy rights.
Submit privacy requests through your existing written communication channel with CallTale. If you are a caller or visitor to a customer’s website, you may submit your request directly to that business, which can contact us regarding information we process on its behalf. We may verify identity and authority before responding. Rights may be subject to legal exceptions. For information controlled by a customer, contact that customer; we assist as appropriate under our obligations to it. Withdraw consent using relevant controls or contacting the responsible business. Withdrawal does not affect prior lawful processing.
Opt out of promotional emails using the unsubscribe link or contacting us. Necessary account, billing, security, and service notices may still be sent.
Service Location
CallTale.com is located in St. Petersburg, Pinellas County, Florida, United States. We do not offer our services in the United Kingdom or European Economic Area. Twilio and Stripe handle information according to their privacy policies and applicable processing arrangements.
Children’s Privacy
The Service is intended for business use by adults and is not directed to children under 13. If you believe a child has provided personal information inappropriately, contact us through your existing written communication channel, or contact the relevant customer so we can investigate and take appropriate action.
Changes to This Policy
We may update this policy to reflect changes in the Service or our practices. We will post the revised effective date and provide additional notice or obtain consent when required by law.
